Considerations when organising an event at Regent's
College
Vehicular Use
No vehicles to be driven on the grass or planted areas under any
circumstances. Vehicles must stay on tarmac areas
If drivers are in any doubt, contact a member of the conferences
department for direction). Many of the trees and shrubs on site are
old and would be costly to replace.
Heavy Equipment, Sitting and Removal
Heavy equipment that must be located on or removed from the lawns
should be moved across the grass using tracking, boards or heavy
matting to prevent damage to and or compaction of the turf.
Mats or boards must be placed underneath heavy equipment when it is
being sited to prevent compaction or indentation of turf.
Areas of lawn where high wear is likely
Areas of potential high wear must be protected. Locations such as
entrances/exits of marquees, around games/events, where significant
numbers of people will be confined to small areas, or any other
situation where is can be expected that wear will occur; these
areas must have matting etc. That will protect them from excessive
wear and or compaction.
(Note: During wet or inclement weather more care must be taken as
the lawns are much more vulnerable to damage than at other
times).
Miscellaneous
- It is compulsory for a security guard to be hired for your
outdoor event. This costs £100 + VAT. It is the clients
responsibility to organise any of their own delivered goods such as
garden furniture or activity equipment. It is not the
responsibility of Regent’s College staff to lift or arrange
any such equipment.
- PA systems or any amplified sound is not permitted in Regent’s
College grounds. Under no circumstances place any equipment or
materials in the shrub borders.
- Do not site high power lights directly on the lawn surface as
the heat generated will scorch the grass, therefore please place
some form of protection under the light.
- Please avoid fuelling generators etc. If this cannot be avoided
please ensure that when they are sited on the lawns extra care is
taken to avoid spillages.
- When breaking down marquees etc. please make sure that no
pegs/nails are left behind as they may damage our turf care
machinery and or cause injury to the operator.
